Thank you for shopping with Westerly Apollo. Below you will find our guidelines regarding shipping methods, timelines, and costs. Please review this policy before placing an order so you know what to expect.
1. Free Domestic Shipping
We offer free standard ground shipping on all orders shipped within the contiguous United States. Orders shipped to Alaska, Hawaii, U.S. territories, and APO/FPO addresses may incur additional shipping charges. We will contact you with a shipping quote for approval before processing these orders.
Exceptions: Certain products that exceed standard shipping dimensions or weight, or that are classified as hazardous materials, may not qualify for free or standard shipping rates. When this applies, it will be noted on the product listing or communicated to you before your order ships. We will not charge additional shipping fees without your prior approval.
2. Processing and Delivery Times
Order Processing: Most in-stock items are processed and shipped within 1–3 business days of receiving payment confirmation. Processing times may vary depending on product availability, the manufacturer, and order complexity. During high-volume periods (holidays, promotional events), please allow additional processing time.
Delivery Estimates: Standard ground delivery within the contiguous United States typically takes 3–7 business days after shipment, depending on your location and the shipping origin of your product.
Extended Lead Times: Some products — particularly specialty instruments, custom-configured equipment, or items not currently held in stock — may require additional lead time for fulfillment. If your order includes items with an extended lead time, we will notify you promptly with an estimated ship date. You may cancel the order at no charge if the lead time is not acceptable.
Business Days: Orders are processed Monday through Friday, excluding federal holidays and scheduled closures. Orders placed on weekends or holidays will begin processing on the next business day.
3. Expedited Shipping
Expedited shipping options (2-Day Air, Overnight) are available for most products at an additional cost. To request expedited shipping, please contact our Customer Service team before or immediately after placing your order. We will provide a quote based on your destination and the product(s) ordered.
Please note that expedited shipping applies to transit time only and does not reduce order processing time. Products with extended lead times are not eligible for expedited shipping until they are in stock and ready to ship.
4. International Shipping
We currently handle international orders on a case-by-case basis. If you are located outside the United States and wish to place an order, please contact our Customer Service team at info@westerlyapollo.com to receive a shipping quote before ordering.
Please note:
- International customers are responsible for all duties, taxes, customs fees, and import charges imposed by the destination country. These charges are not included in our shipping quotes and must be paid by the recipient.
- Certain products may not be available for export due to manufacturer restrictions or export regulations.
- International shipments require additional processing time for documentation.
- Tracking availability may vary by destination and carrier.
5. Stock Availability
Westerly Apollo works with multiple manufacturer partners to fulfill orders. Product availability can vary, and we do not guarantee real-time stock accuracy on our website. If an item you ordered is out of stock or on backorder, we will contact you within 2 business days of your order to provide an estimated fulfillment date and your options, which may include waiting for the item, selecting an alternative product, or canceling the order for a full refund.
6. Order Cancellation
Before Shipment: If you need to cancel an order, please contact our Customer Service team as soon as possible by email at info@westerlyapollo.com or by phone at (888) 913-3691. If your order has not yet been processed or shipped, we will cancel it and issue a full refund to your original payment method. Please include your order number in all cancellation requests.
After Shipment: Once an order has shipped, it can no longer be canceled. If you no longer want the item, you will need to follow our Return Policy after delivery, including all applicable terms regarding return authorization, condition requirements, restocking fees, and return shipping costs.
Custom-Configured and Special Order Items: Orders for custom-configured instruments, made-to-order products, or items specially ordered from a manufacturer on your behalf may not be eligible for cancellation once the order has been placed with the manufacturer. If cancellation is possible, a restocking or cancellation fee of up to 25% of the order value may apply. We will make every effort to accommodate cancellation requests for these items, but availability of cancellation depends on the status of the order with the manufacturer at the time of your request.
Cancellation by Westerly Apollo: We reserve the right to cancel any order in the event of a pricing error, product listing inaccuracy, suspected fraudulent activity, stock unavailability, or export restriction. If we cancel your order, you will receive a full refund. We will notify you promptly by email with the reason for the cancellation.
7. Order Tracking
- Order Confirmation: After placing an order, you will receive an email confirming receipt.
- Shipping Confirmation: Once your order has shipped, you will receive a shipping confirmation email with a tracking number and carrier information.
- Questions: If you have questions about the status of your order, please contact us at info@westerlyapollo.com with your order number.
8. Shipping Address
Please ensure that your shipping address is complete and accurate at the time of checkout. Westerly Apollo is not responsible for delays, lost packages, or undelivered shipments due to incorrect or incomplete addresses provided by the customer.
If you need to change your shipping address after placing an order, please contact us immediately. We will do our best to accommodate the change if the order has not yet shipped. Once an order has been dispatched, address changes may not be possible.
9. Damaged or Lost Shipments
- Damage on Arrival: If your package arrives with visible damage, please note the damage on the carrier's delivery receipt (if applicable), retain all original packaging, and contact us within 48 hours of delivery with photos of the damage. We will work with you and the carrier to resolve the issue.
- Lost Packages: If your tracking shows "delivered" but you have not received the package, please check with household members, neighbors, or building management. If the package cannot be located, contact us and we will assist in opening an investigation with the carrier.
- Concealed Damage: If damage is discovered after opening an externally intact package, please contact us within 48 hours of delivery with photos. Retain all packaging materials, as the carrier may require inspection.
10. Payment Methods
We accept credit cards (Visa, Mastercard, American Express, Discover), debit cards, PayPal, Shop Pay, Google Pay, and Apple Pay. We do not currently accept wire transfers, money orders, checks, or purchase orders. All orders must be paid in full before shipment.

11. Policy Updates
We may update or modify this Shipping Policy at any time to reflect changes in our operations, carrier services, or for legal or regulatory reasons. Changes will be posted on this page with an updated "Last Updated" date.
